Invite your team, accountant, or clients to your Receiptor AI workspace and control exactly what each person can see and do with roles.
Role | What they can do |

Admin | Full access: all documents, all sources, all settings, billing, members. |
Member | Operational access: view and manage documents and sources. Cannot access workspace settings or billing. |
Accountant | Can manage workspace settings and billing, but cannot view other members’ activity logs or manage team members. |
Guest | Can only see and manage their own connected sources. No access to the shared Documents section. |
When to use each role:
Admin — founders, operations leads, anyone who needs full control.
Member — employees who submit receipts or manage day-to-day documents.
Accountant — your external bookkeeper or accountant who needs to configure the chart of accounts and export settings but should not see internal team activity.
Guest — clients or contractors who connect their own email inbox for you to extract documents from, without seeing anything else in your workspace.
Go to Settings > Members.
Click Invite Member.
Enter the person’s email address.
Select their role from the dropdown.
Click Send Invite.
They will receive an email invitation with a link to join your workspace. Once they accept, they appear in your Members list.
Go to Settings > Members.
Find the member in the list.
Click the role label next to their name.
Select the new role from the dropdown.
The change takes effect immediately — no re-invite needed.
Go to Settings > Members.
Find the member you want to remove.
Click the three-dot menu on their row.
Select Remove Member.
Their access is revoked immediately. Their previously connected sources remain in the workspace unless you delete them separately.
The Guest role has a dedicated invite flow for when you want a client or contractor to connect their own inbox without entering your workspace.
Go to Sources > Email Accounts.
Click Invite Guest.
Enter the client’s email address.
They receive an invite and connect their inbox directly. Their emails are scanned by Receiptor AI, but they only see their own source — nothing else in your workspace.
This is useful for bookkeepers and accountants managing multiple clients from a single Receiptor AI workspace.
Q: Can a Member invite other people?
A: No. Only Admins can invite and manage team members.
Q: How many members can I have?
A: Unlimited, for all plans.
Q: Can I have multiple Admins?
A: Yes. There is no limit to the number of Admins in a workspace.
Q: Will a Guest see documents I have already extracted?
A: No. Guests only see their own source (the inbox they connected). The shared Documents section is not visible to them.
