Automatic exports send eligible receipts and invoices to Xero or QuickBooks Online after Receiptor finishes extracting and categorizing them. They use the same matching, validation, attachment, and review safeguards as manual exports.
Before creating anything, Receiptor checks the accounting platform:
A supplier invoice becomes a Bill.
A confirmed paid receipt without an invoice becomes a Xero Spend Money transaction or a QuickBooks Expense.
An invoice with linked payment evidence remains one Bill, with a safe missing Payment or Bill Payment recorded when possible.
If a matching transaction already exists, Receiptor keeps it and attaches the missing source document instead of creating a duplicate.
If totals, tax, currency, payment accounts, or possible matches are ambiguous, the export stops as Needs action rather than guessing.
Open Integrations.
Connect Xero or QuickBooks Online and authorize the organisation or company you want to use.
Link each Receiptor business entity to the corresponding accounting destination and chart of accounts.
Review the integration settings, including Bill status, line-item handling, tax treatment, and payment-account mappings.
Export one document manually first and confirm the result in your accounting platform.
Open Automations.
Under Built-in Automations, select the Xero or QuickBooks export automation.
Choose the connected destination or destinations.
Confirm the automation.
Built-in automations are the quickest option when every eligible new document should use the same destination.
Use a custom automation when only certain documents should export.
Open Automations and select Create Automation.
Choose When a document is created as the trigger.
Add optional conditions, such as business entity, payment status, payment method, merchant, amount, or labels.
Add Send to Integration as the action.
Select the Xero or QuickBooks Online destination.
Name, save, and enable the automation.
You can add both Xero and QuickBooks Online actions to one automation when you intentionally want the same document sent to both systems.
Open Automations → View All Runs to see whether the automation ran. Open Exports to see the accounting result, completed actions, destination links, or any requested resolution.
If an export shows Needs action, open it and follow the requested correction—for example, select a matching transaction, expense account, tax treatment, currency decision, or payment account. After you resolve it, retry the same export. Receiptor checks the accounting platform again and reuses verified completed work instead of blindly repeating it.
Yes. Leave automatic export disabled and export manually from Documents. The To Export tab shows documents that have not been exported yet.
Yes. Create a custom automation and add conditions. An automation can filter by fields such as business entity, merchant, amount, payment status, payment method, or labels.
Yes. Receiptor attaches the original receipt or invoice to the matched or newly created accounting transaction. Attachment delivery is confirmed with the provider; a mismatch appears as an actionable review.
Receiptor checks Xero or QuickBooks Online again before retrying and reuses verified completed work. If several plausible matches remain, it stops for review.
