Auto-storage keeps you audit-ready without lifting a finger. Every processed document is securely saved to your Dropbox in real time — no more digging through emails or downloads.
Go to Integrations in the left sidebar.
Click Connect Dropbox.
Authorize the connection in Dropbox.
Once connected, Receiptor AI creates a Receiptor_AI folder in your Dropbox automatically. All saved documents will go there.
You can connect multiple Dropbox accounts and route different documents to each one using separate automation rules.
Before setting up your automation, decide how you want documents organized inside the Receiptor_AI folder. You can set a custom folder path and file naming format under Integrations > Dropbox > Settings.
Use / to create subfolders. For example:
YYYY/MM → organizes by year and month: 2026/06/
ENTITY_NAME/YYYY/Q → organizes by business entity, then year, then quarter: Merlino Inc/2026/Q2/
Use _ or - as separators between tokens. For example:
MERCHANT_YYYY-MM-DD → Stripe_2026-06-15
YYYY_MM_MERCHANT_AMOUNT → 2026_06_AWS_149.00
Available tokens:
Token | What it inserts |
|---|---|
Vendor name
Document total
Chart of accounts category
Last 4 digits of the payment card
Document type (Receipt, Invoice, etc.)
Receiptor AI document ID
4-digit year
Quarter (Q1–Q4)
2-digit month
2-digit day
Business entity assigned to the document
Go to Automations > Create Rule.
Set the Trigger to Document is created.
Add Conditions if you only want to save certain documents (optional). For example:
Add an Action: Store In → choose Dropbox → select the connected account.
Click Save.
Document Type is Invoice — to save only invoices, not receipts
Label is Travel — to save only travel expenses
Source is a specific email account
From this point, every document matching your conditions is saved to your Dropbox folder automatically.
Once documents are flowing into the Receiptor_AI folder, share it directly in Dropbox with whoever needs access — your accountant, a team member, or a client. They will see new documents appear in real time without you having to forward anything manually.
Q: Can I connect more than one Dropbox account?
A: Yes. Connect as many accounts as you need under Integrations. Use separate automation rules to route documents to different accounts based on conditions.
Q: What file format are documents saved in?
A: Documents are saved as PDFs.
Q: Does auto-storage work with existing documents, or only new ones?
A: By default, automation rules apply to new documents. To save existing documents to Dropbox, select them in the Documents section, click Export, and choose Dropbox for a one-time manual export.
